Data we process

We may process your name, phone number or email address, the content of your request and your conversation with Clima. Please send only the data needed for us to reply.

Purpose and legal basis

We use the data to answer questions, prepare and manage contact or quote requests, and protect the service against misuse.

For quote requests, processing is necessary to take pre-contractual steps at your request. Where contact does not constitute a pre-contractual step, replying and protecting the service rely on our legitimate interest in communicating with people who contact us and keeping the service secure, without prejudice to your rights.

We also retain a copy of the Clima conversation to correct inaccurate answers and improve the assistant, based on our legitimate interest in maintaining a reliable service. Contact details are automatically removed before storage: email addresses, phone numbers and other long numbers are deleted, as is the name when supplied in response to the assistant.

Audience measurement and cookies

We count how the site is used: pages viewed, clicks on the phone number, WhatsApp and email, forms started and completed, and conversations opened with Clima. It tells us what works and what does not, based on our legitimate interest in maintaining and improving the site.

This measurement is our own and runs on our own server. We do not use Google Analytics or any third-party advertising or tracking service, and the site loads no external resources that could observe its visitors.

To know which pages belong to the same visit, we generate a code from the IP address and the browser type. That code changes every day and cannot identify anyone; the IP address is not stored. We also record the country and approximate city reported by the network, and the site the visit came from. Visit paths are deleted after 90 days, leaving only daily counts, with no path, for up to 400 days.

By default, this measurement neither stores nor reads anything on your computer or phone. There are no cookies. That is why we do not ask for your consent to it. If a cookie layer is ever switched on, a notice appears first with “Accept” and “Decline”, and the cookie only comes into existence if you accept; declining takes nothing away from the site.

Job applications

When you apply through the /emprego page, we process your name, mobile number, email address, the area where you are able to work, the experience and availability you describe, your answer about permission to work in Portugal and, if you attach one, your CV. The legal basis is the pre-contractual steps taken at your request.

Your application is not stored on this site. It goes by email to whoever handles recruitment, and that email is the only copy. Applications are kept for six months from the date they arrive. After that we delete what we received. To withdraw it before then, just call 915 100 172 or write to rmarques.ac@gmail.com.

No automated system scores, ranks or filters applications. A person always reads them and decides.

Technical providers

We use technical service providers that may process data to the extent necessary to operate the service:

• OpenAI, to generate Clima’s answers and, where needed, transcribe voice messages;
• Groq / ElevenLabs, to transcribe voice messages;
• Vercel, to host the site and run its server functions;
• Upstash, to store the conversation copy described above and the measurement data;
• Resend, to email the team the notification of your request and any job applications, including the CV when one is attached.

This is the complete list. We do not share your data with anyone else, and we neither sell it nor use it for advertising.

Some of these providers are established outside the European Economic Area, or may process data there. Those transfers rely on the standard contractual clauses approved by the European Commission, included in each provider’s data processing terms. You may ask us for information about the safeguards in place, using the contact details below.

How long we keep data

We retain data for as long as needed to reply, manage the request and comply with applicable legal obligations. The exact period depends on the nature of the request and its follow-up.

The conversation copy used to improve the assistant is automatically deleted after 30 days, and no more than the 500 most recent conversations are retained.

Job applications have their own retention period: six months from the date they arrive, as explained acima.

Your rights

You may request access, rectification, erasure, restriction or portability of your data and object to processing where applicable. To exercise these rights, contact the controller by email at rmarques.ac@gmail.com, by phone 915 100 172 or by message on WhatsApp. We reply within one month.

You may also lodge a complaint with the Portuguese Data Protection Authority (CNPD).

Automated answers and estimates

Clima generates automated answers and may provide indicative thermal estimates. These answers and estimates are not binding decisions and do not replace an on-site technical assessment.
